Define the comparison

Use the same requirement, evidence period and scoring standard for every supplier. Higher always means better, including cost.

Criteria and weights

Mandatory criteria require a rating of at least 3. A zero weight removes a criterion from the score, but not its mandatory gate.

Before choosing a supplier

  • Ratings are your assessment, not independent certification. Record evidence and dates for material claims.
  • Unknown weighted or mandatory ratings are excluded from ranking, not scored as zero or as a favourable result.
  • Check commercial terms, sample quality, capacity and documentation with your procurement team.

How to build a supplier evaluation scorecard

Use the supplier comparison tool to make a procurement shortlist easier to explain. It calculates weighted scores from your ratings and keeps mandatory requirements separate from commercial trade-offs.

  1. Name your sourcing project and suppliers. Add criteria such as quality, delivery, commercial cost and compliance, then set weights and mandatory requirements.
  2. Rate each supplier from 1 to 5 against the same criteria and record your evidence notes. Leave unknown ratings blank rather than guessing.
  3. Review eligibility, the weighted comparison and ranking sensitivity. Export the scorecard for a procurement review; independently verify evidence before awarding work.

When to use this tool

  • Comparing shortlisted manufacturers or service providers against a shared procurement brief.
  • Documenting why a supplier is ineligible even when its price or overall score is attractive.
  • Checking whether a preferred supplier changes when an individual criterion receives more or less weight.

Method and limitations

Each rating runs from 1 (poor) to 5 (excellent), with 3 meaning the requirement is met. Weighted score = Σ(rating ÷ 5 × weight) ÷ Σ(weights) × 100. Weights are normalised automatically. A mandatory rating below 3 blocks eligibility. Missing applicable ratings leave a supplier unranked. Sensitivity checks halve and double each individual weight while keeping other weights constant.

Scores reflect the ratings you supply and do not independently establish a supplier's reliability. A reference note is not verification. Confirm certification validity, factory capability, capacity, legal identity and commercial terms before a procurement decision.

Common questions

Do weights need to add up to 100?

No. The tool normalises positive weights. Using a total of 100 is convenient but not required. A weight of zero excludes the criterion from the score; a mandatory criterion still controls eligibility.

What happens when a rating is unknown?

A supplier with missing weighted or mandatory ratings is shown as incomplete and is excluded from ranking. Missing evidence is never treated as a favourable score.

How does ranking sensitivity work?

The tool changes each weight individually to half and twice its entered value. It reports how many criteria can change the sole leader. This is a limited sensitivity check, not a guarantee that a ranking is robust.
